Before you start: what you need to know
The Windows 11 Mail app works well with Outlook, Gmail, Yahoo, and most providers that use IMAP or Exchange. However, there is one detail that surprises many beginners: if your corporate account depends on an old Exchange server (2013 or earlier) or a poorly configured POP3 protocol, synchronization may fail or show only the last few days of messages. It is not a Windows bug, but a protocol issue. Before changing anything, confirm with your provider whether it uses modern IMAP.
Quick path: adding an account from Settings
The cleanest route is not inside the app, but in the system:
- Open Settings (Windows key + I).
- Go to Accounts → Email & accounts.
- Click Add account and choose the provider from the list.
- Enter your address and password. If you have two-step verification enabled, Windows will open a browser window to complete it.
This method also registers the account for the calendar and contacts, something that manual setup from the app sometimes does not do.
Manual setup: when and how
If your provider does not appear in the list (for example, a custom domain with shared hosting), choose the Other email POP, IMAP option. There you will have to fill in the incoming server, port, and encryption type. According to Microsoft’s official documentation, the usual values are:
- Incoming IMAP: port 993, SSL/TLS enabled.
- Outgoing SMTP: port 587, STARTTLS enabled.
A common mistake: setting port 465 for outgoing mail thinking it is more secure. On many servers that port requires direct SSL, and the Mail app does not always negotiate it well; if sending fails, try 587 before giving up.
The case almost no one mentions: Gmail and the app password
Since Google removed access with «less secure passwords» for accounts with two-step verification, the Windows 11 app may reject your normal Gmail password. The solution is to generate a 16-character app password from your Google account’s security settings and use it instead of your usual one. This does not appear in most tutorials and is the most frequent cause of «cannot connect to server» on Gmail accounts.
What happens with work or school accounts
If your institution uses Microsoft 365 or Google Workspace, the administrator may have blocked the native Mail app. In that case, even if the account is added, it will not sync. The alternative is to use the web client or the desktop Outlook app, which does support modern authentication methods.
Checks after configuring
Verify three things: that the email appears in the Sent folder after a test send, that the calendar shows events if your account has them, and that synchronization does not hang when downloading large attachments. If something fails, check the download period in Account settings → Change sync settings: by default it is often limited to 3 or 7 days on some IMAP accounts.
The Mail app is enough for basic use, but it does not support advanced rules or complex HTML signatures. For that you will need Outlook or a third-party client. Recognizing that limitation in time avoids frustration.
